Manage Objects in the Global Library

Permissions: Users must have the Global Library Configure privilege to manage the Global Library.

The Global Library is a repository for the storage of promoted mapped domain objects used in Mapper for import and reuse across studies, and for storage and reuse of KRIs and QTLs in RBQM.

From the Global Library users can activate or deprecate an object, edit the object properties, add tags for easier searching, edit the scope, and delete an object.

Access the Global Library

  1. From the Platform Menu, select Global Library under Metadata Management. The Global Library displays.

Navigate the Global Library

Initially, the window displays the left navigation for filtering library objects, and the main window displaying folders and objects.

Click the up and down arrows beside the folders to expand or collapse folders.

The list of objects displays the following columns:

  • Object Name
  • Type
  • Status
  • Source
  • Last Updated Date
  • Added By

Number in blue badge (top left next to Global Library) indicates the total number of objects, or if filters are applied the filtered number of objects.

Filter Library Objects

From the left navigation narrow the list of objects displayed.

Filter by Types

By default all types are selected to include Mapping Domain, KRI, and QTL. Uncheck any items you wish not to include.

Filter by Scope 

By default Therapeutic Areas, Compounds, and Programs are set to All.

  1. Click the down arrows to expand the Therapeutic Areas, Compounds, and / or Programs sections.
  2. Check the items you wish to filter.
    The window updates based on your selection. Also, the blue badges beside each section updates based on the number of items selected. Notice the blue badge next to Global Library updates to the number of filtered objects displayed.

To reset the filter, click Reset.

Sort Columns

Columns can be sorted ascending or descending.

  • Click a column header once and it sorts ascending.
  • Click a column header twice and it sorts descending.
  • Or Right-click a column header and select Sort Ascending, or Sort Descending.
  • Right-click a sorted column to change or clear sorting.

Expand a Column Width

  • Hover over the left or right column margin until the crosshair displays and drag the column to the desired width.

Search

From the top right of the window, use the Search field to narrow the list of objects.

  1. Enter text in the Search area.
  2. Click the Search icon. Objects with the entered text display.

Manage an Object

  1. Right-click a row, or click an object row to highlight it and use the following icons:
    1. Click the Change Status icon to activate or deprecate the object.
    1. Click the Edit icon. The Edit Object window opens. Fields and selections display based on how the object was saved when promoted to the Global Library.

    1. Domain Name: This is the name of the domain created by the mapping definition. Enter over the existing name to update. In the example above, the Domain Name was AE and updated to AE2. When the Domain Name is updated to something different than the Library Display Name, the Domain Name displays, then the Library Display Name in parenthesis, i.e., AE2(AE). 
    2. Library Display Name: This is the library title for the domain. Enter over the existing text to update. Using a library title allows multiple versions of the same domain to be stored in the Global Library.
    3. Status: By default, objects are Active when promoted to the Global Library. Click the drop-down to Deprecate the object. Active objects are visible to users and available to be imported into studies in Mapper. Deprecated objects are no longer available for import but are retained in the library.
    4. Description: Enter or update the description of the object.
    5. Tags: Enter or update tags that can be used when searching.
    6. Scope: Selecting specific TAs, Compounds, or Programs for an object makes that object available to only those studies in that selection when importing a mapped domain.
      1. Click the down arrows to expand the Therapeutic Areas, Compounds, and/or Programs sections.
      2. Check the TA(s), Compounds, and/or Programs. For example, if the Therapeutic Area Cardiovascular is selected, only studies configured with the TA = Cardiovascular can import this object. Also, the blue badges beside each section updates based on the number of items selected. 
    1. Click the Properties icon. The Object Properties window opens.

    2. View the Object Properties. Click the down arrows to expand the sections in the Scope.
    3. Click the Edit icon to open the Edit Object window.
    4. Click the x in the top right corner or the Close button at the bottom to close the window. 
    1. Click the Delete icon.

      Important: The Delete Library Object window opens with messages. The system checks for dependencies and the object may not be deleted. Be sure to read the messages!

      1. If selected objects have dependency relationships, they cannot be deleted. The message displays accordingly. Select Cancel.
      2. If there are no dependencies, the message indicates how many library objects will be permanently deleted. Click Delete or Cancel. 

Tip: To update the status for or delete multiple objects at once, select multiple rows while holding Ctrl on the keyboard. You cannot edit or update properties for multiple objects at once.

Best Practices for Global Library

  • Use the Global Library as your central hub for reusable assets. Only promote vetted, reusable Mapped Domains, KRIs, and QTLs so that other studies in the URL can import them directly. Manage the Status (Active / Deprecated), Description, Tags, and Scope (Therapeutic Areas / Compounds / Programs) of promoted objects to control their discoverability, while also keeping a history record. When a version is replaced, mark the old one as Deprecated to preserve its history but hide it from future imports.
  • Author objects in studies and promote to the Global Library.  Develop and validate Mapped Domains, KRIs, and QTLs within the study workspace. After testing and confirming stability, promote the object to the Global Library for reuse. The global library isn't meant for creating content but serves as a repository for managing metadata, status, and folders. This method maintains clear source history and ensures only vetted assets are available for reuse across studies.
  • Limit who can modify the Global Library. Assign Global Library Configure permissions to a small admin group. All other users should import objects into the library by promoting them. Use Added By (who promoted) and Last Updated Date (when metadata was changed n the library) for accountability. Use Deprecate over Delete, which will hide items from future imports while preserving history. Delete only when there are no dependencies and you’re sure the object should be removed.
  • Promote Global Library Objects wisely. Promote Mappings, KRIs, and QTLs that capture reusable logic (calculation, scope, and rules) to the Global Library. After importing into a study, adjust study-specific thresholds / targets locally. This avoids cloning many near-identical library objects, keeps the library searchable, and reduces maintenance when definitions change.
  • Consider dependencies when promoting Mapped Domains. During the promotion process, review the Manage Dependencies step and include any required domains to prevent future import failures or inconsistent behavior. Use Overwrite only when updating the existing library object, as this creates a new version. If the underlying table or structure has changed significantly, publish under a new domain name instead of overwriting to maintain clarity and reusability.
  • Document, tag, and organize for ease of findability. Use the Description field to state the purpose and intended use. Apply meaningful tags and standardize a small set of tags to manage centrally, ensuring that search and filters work reliably. Adopt a simple folder hierarchy under Home with a clear naming pattern. Consistent metadata and structure improve search, onboarding, audit readiness, and reduce import errors.
