Create Folders, and Add and Access Files in the eDrive File System

eDrive is the elluminate File System used to manage data, documents, and unstructured information. This system includes both a global folder structure, as well as folders for each elluminate study. Users are granted the privilege of read / write access or read-only access at the Global and Study levels. eDrive is available from two locations: from the Global level and from the Study level. 

Who can use eDrive?

  • At the Global Level: Any user with only the eDrive Global Read or eDrive Global Read Write and View privileges will be able to access the Global eDrive module within elluminate. This user will not be able to access the study level content from the Global eDrive, but will have access to global content. To also view study content, users must have study level eDrive privileges.

  • At the Study Level: Any user with eDrive Read or eDrive Read Write and View privileges will be able to access the Study eDrive module within elluminate. This user will not be able to access the Global level content from the Global eDrive, but will be able to access study content.

Note: Both eDrive Global and eDrive must be selected if the user should have access to both the global and study level content. 

Benefits of eDrive

The Study-level eDrive allows you to share documents among individuals associated with a specific clinical trial. The Global eDrive folders allow you to share high-level information that would be useful to users across studies.

eDrive Privileges

There are four different eDrive privileges that can be granted to individual users or user groups from the Administration module:

PRIVILEGE DESCRIPTION
eDrive Global Read This privilege allows the user to view the folder content at the global level. The global folders can contain information that applies across the studies, and is not study specific.
eDrive Global Read Write This privilege allows the user to create folders and add documents to the Global eDrive folder. Items in the global folder should be relatable across studies, and not be study specific.
eDrive Read This privilege allows the user to view the folder content at the study level. Access can be granted for “All studies” or for specific studies.
eDrive Read Write This privilege allows the user to create folders and add documents to the study folder. Access can be granted for “All studies” or for specific studies.

 Depending on privileges, users may be able to complete the following tasks within eDrive:

  • Upload multiple un-versioned files at once (Google Chrome browser)
  • Create a new folder
  • Rename a folder you created
  • Delete a folder you created, as well as all its contents
  • Rename a file you uploaded
  • Delete a file or multiple files you uploaded
  • View a versioned files history
  • Copy and Move files between folders (authorized users can copy/move files by selecting the file(s) and action)

eDrive Versioning

eDrive has versioning capabilities so that when you are uploading documents, elluminate will track the version of the document. You must have eDrive Read Write capabilities to upload documents to eDrive, but can read the documents uploaded with Read privilege.

eDrive Folder Structure

Global: There is no standard folder structure for the Global eDrive; these are client dependent and are added to meet your needs. However, beginning in elluminate version 24.1, when PDAP (Protocol Deviation Assessment Plan) files are imported, a PDAP folder will appear under Global. PDAP files are read-only, and when files with the same name are imported, they are versioned within eDrive.

Study: Within each study, a set of system folders have been added to support the application’s mapping (transformation) and importer functionality. These are added at the study level for every study defined in elluminate.
The standard eDrive folders include:

  • Data (Legacy Data)
    • This is a read-only folder.

      Note: For most studies the Data folder is no longer used for imported data. This folder can be used for storing system data extracts needed to be retained within elluminate that are not going to be included in the regularly updated data stores.

  • Metadata
    • Contains information related to a define.xml file import.
  • PDAP (beginning in elluminate version 24.1)
    • All files in the folder read-only and cannot be edited.
    • Version controlled folder, as new files are imported with the same name, they are versioned within eDrive.
  • Programs
    • Version controlled folder.
    • Authorized users can upload data mapping configurations to this folder for use by the system when a transformation program is run for an Excel import.
  • Source
    • This is a read-only folder.
    • Contains the data imported into elluminate, broken out by name of study, date and time of import, and data store.

      Note: If you have been denied access to a particular data store, you will not have access to that data within eDrive either.

Access eDrive

Access at the Global Level

  1. Click the 9-dot icon in the Master Header.
  2. From the Platform Menu, select eDrive under File Management. All folders and files you have access to display.

Access at the Study Level

  1. Click the 9-dot icon in the Master Header.
  2. From the Platform Menu, select eDrive under Study Management.
  3. Select a study from the list of studies on the right. Only folders and files for the selected study display.

Create a Folder

Users with the either global or study read / write privilege (see above) can create folders at the corresponding eDrive level.

  1. In the eDrive left side menu, browse the folder structure, and select the location where the new folder will be created.

  2. Click the list and select.  A create folder window opens.

  3. In the Folder Name field, enter the name of the folder.
  4. If you want this to be version controlled, select the Use Version Control checkbox. 
  5. Click the Create button. The folder will be created. 

With the folder created, you can now upload files to the folder. If Use Version Control was checked, your documents will be version controlled when uploading.

Add a File

When adding a new file, navigate to the folder where you want the file to reside.

  1. From within your folder, click Upload.

  2. In the Upload window, either click and drag the file you want to upload, or click Choose File and select your file.

  3. Optionally, enter any comments regarding your file.
    By default, Version and overwrite, if the file exists is checked, if the target folder is versioned. You can choose to uncheck that if you do not want the uploaded file to be versioned.
  4. Click Upload
  5. The file uploads. Click Close on the Upload window to view the file in eDrive. If you chose to version the file, its version number will be 1. When you upload the file again, the version number will change to 2.

By default, files are listed by date modified.

Access Files

When you have multiple versions of a file, you may access either the latest version uploaded, or access an earlier version of the document.

Access an Earlier Version

  1. Click on the file name within your eDrive folder. The file Information window opens.

  2. Click on a plus sign at the left of the file name to see the details of the file: Action, Comment, User, and Date (time). Click the minus sign to close the details.
  3. Click on the download icon at the right of the file name to download the version of the file. It downloads to your computer.

Access a Current Version

  1. Click in the checkbox at the left of your file within your eDrive folder. Options display at the top right.

From here you can download the file, copy the file, move it to another file location within eDrive, rename the file, delete the file, or download folder files.

View DICOM Images

DICOM (Digital Imaging and Communications in Medicine) (.dcm) images have the Versions tab as well as a Viewer tab. By default, the image opens in the Viewer tab. To view version details, click the Versions tab.

  1. Click on the .dcm file name. The details of the file open at the left and the image at the right.
  2. By default, Width/Center is selected. Click on the image and drag your mouse to change the view.
  3. Click Measure, click on the image and drag your mouse to measure.
  4. Click Probe, click on the image to place a marker.
  5. Click Clear All to remove measurements, markers, and to reset the image.
