Publish and Access Published Data in eForms

Any data entered into eForms can be published. Publishing an eForm allows its data to be accessed and used just like any other domain in your study. While you need the eForms privilege to publish the data in the form, you do not need the eForms privilege to access the published data from other modules within elluminate as long as you have access to the data store in which the eForm resides. For example, you would need the Exporter privilege to export an eForm.

Publish eForm Data

After a form has been created or updated, it must be published in order for it to be available from eForms. In addition, by clicking Publish, any time new data are entered into the eForm, they will automatically be available from the other modules, such as Exporter. If you update a form and do not click Publish, the new fields will display on the form, but that data will not be available through the other elluminate modules.

  1. From the Platform Menu, select eForms Designer under Platform Administration.
  2. Select the desired study and form from the left menu, then click Publish from the top right.

    Tip: To publish all the forms at one time, click Publish All from the top of the left window.

     

  3. Confirm your new form – access eForms from the Platform Menu, or from the Details drop-down in a study.
  4. Select your study from the Study drop-down.
  5. Select the form from the list of forms in the left panel.
  6. Click New to create a new entry, and notice the new fields you added.

Access Published eForm Data

eForm data that have been published can be accessed from other elluminate modules, such as Exporter, Reporter, and Mapper. The steps below show how to use the Exporter module to export the published eForm data.

Note: When using eForms, the study level options are removed, and you are at the global level. This means that you will have to reselect your study to access the Exporter module.

  1. Select your study from the elluminate home page, or make your selection from the Recent Studies drop-down list to find your study quickly.
  2. Select the module you want to use, such as Exporter at the study level.
  3. Select the Data Store to which the eForm data is published. This was defined when the eForm is created. See eForm Designer for more information.

  4. The name of the form displays in the Available Domains selection window. Click on the name of your form.
  5. Select the format for exporting the data from the Format selections.
  6. Click Export. The processing displays at the bottom of the window, and a status of Completed displays when the export is finished.
  7. Click Download to access and open your data.
