While you can export data as you are working in elluminate, you can also schedule an Export Definition to run at a specified time and date. This can be a one-time event, or you can schedule an export to run regularly, perhaps as new data are imported. You can choose to export out and entire study, or just the specified domains.
By selecting Schedule, you can have the export run automatically at any time and at any frequency you choose. This can be done right from the Exporter window's Export Definitions tab using the Schedule icon, or you can do this from Tasks.
Note: You can also schedule an Export from the Tasks module, but the process is slightly different. See the Automated Tasks section under Documentation for more details.
Schedule an Export Definition
- From a study home page, select Exporter from the Details drop-down. The Exporter window displays.
- Click the Export Definitions tab at the bottom half of the window.
- Click the Schedule icon for a selected Export Definition. A New Task window opens.
- The Name field defaults to 'Export_Study name_Export Definition name'. Change as needed to be more descriptive.
- In the Description field, enter any additional description for the schedule.
- The Active checkbox is selected by default. Clear the checkbox if you do not want the schedule to run.
- Click the Schedule tab.
- Select the timing of the Export. Use the calendar and clock icons to select the times.
- Check Repeat if you want this to happen more than one time, and then select the frequency.
- Click the Actions tab.

Because you are scheduling this from within Exporter, the actions for this have already been defined – an export and an email; the email by default is set to notify you when the export has completed. You can edit the information in either the export or the email by clicking on the appropriate row’s pencil. For example, you may wish to change the name of the export. Or, you may wish to add others to the email notification. Or, you may only want to be notified if there was an error in the export.

If you are satisfied with your selections, click Save. A Task for the scheduled import will be created.
Retrieve your Scheduled Export
The data from your scheduled export can be found in one of two locations. The Download button is available after the task completes successfully.
- The most recent export can be found on the bottom half of the Exporter window, from within your study.
- Click on Download to retrieve your exported data. Remember that only the last completed export will display.
- Or, your Export can be accessed from Exports on the study's home page. Remember that all exports for your study are listed here.
- Click on Download to retrieve your exported data.
- Depending on your browser, continue with the appropriate process when downloading documents. You can then save this data in a location that makes sense to you.
Note: Exported data can be found in two locations within elluminate: (1) From the bottom half of the Exporter window, at the study level. This shows the latest export, or any exports done in the active login session. (2) From Exports on the main Study window. This provides a history of all the exports that have been done for the study.
