An annotation is a special, user-defined column which can be added to subjects, queries, issues, or data domains and listings for the purpose of recording observations. While only users with the Study Configure privilege can add an Annotation column, all users can add content to them and view other's entries.
- Annotations function as an additional field to the data, although it is saved separately from clinical data domains.
- A reviewer can enter into the Annotation column to add a subjective assessment; for example, reviewing subjects for risk level remaining in the trial.
- A listing can have up to 3 annotation columns, and annotations can be added to any listing – Subjects, Queries, Issues, and any domain data or listing data created from the Mapper module.
- Each annotation column takes one value per record. Because there can be up to 3 annotation columns per listing, multiple reviewers could each add their own annotation in their own column.
- Columns are configured to accept text, numbers, dates, or selections from a drop-down menu.
- If a user overwrites an annotation column / field, only the most recent entry is saved.

Enter an Annotation in a Listing for a Single Record
- Scroll to the annotation column for a record (My Assessment in the example below).
- Click in the annotation field of the record.
- Enter the Annotation based on the field configuration. Fields may accept text, numbers, dates, or selections from a drop-down menu.
- Tab out of the field to save the entry.
Apply Bulk Annotations
Bulk annotations can be applied by selecting multiple records in the listing or by filtering the listing to display only the desired records, and then applying the annotation in bulk.
- Select multiple records in the listing by placing checkmarks to the left of the desired records.
OR
To apply the annotation to all records in a filtered list, select at least two records. - Scroll right to locate the Annotation column, and click the cell in that column for one of the selected records to open the Bulk Annotation window.
- Choose whether to apply the annotation to the number of selected Rows or to all records in the filtered list.
- Enter the annotation according to the field configuration. Fields may accept text, numbers, dates, or selections from a drop-down menu.
- Click Save.
Enter an Annotation in Details View of a Single Record
- Open a record in Details View.
- Scroll to the lower section of the window and locate the Annotation field.
- Click in the Annotation field, shown as My Assessment in this example below.
- Enter the Annotation based on the field configuration. Fields may accept text, numbers, dates, or selections from a drop-down menu.
