Use and Configure Custom Annotation Columns in Data Central

Important: There are a maximum of three allowed annotation columns. Once an annotation column is added, the column and its data are visible to all Data Central users, and any Data Central user can add data to the column.

Instructions: Add Annotation Data to a Custom Column in a Listing

  1. To add data to the annotation column, scroll to the far right of the listing to locate the desired annotation column.
  2. To input annotation data for a single record:
    1. Click the corresponding cell in the desired annotation column.
    2. Enter or select the input.
    3. The data automatically saves.
  3. To bulk input annotation data for multiple records:
    1. Select the desired records.
    2. Click a cell in the annotation column.
    3. When the Bulk Annotation window opens, enter or select the input.
    4. Click Save.

      Note: Anytime data are added or deleted from these columns, it is captured in the Audit Log.

Instructions: Add and Manage Custom Annotation Columns for a Listing

  1. To add or manage an annotation column, click on the settings icon in the listing panel toolbar.
  2. The Settings window opens, click on the Annotations tab.

    Note: The Subjects, Queries, and Issues Listing Settings opens to the Annotations window by default.

  3. Click the plus sign icon to add a new column. Then enter the:
    1. Field Name for the column header name.
    2. Tooltip for an optional tooltip description to share the purpose of the column.
    3. Field Type for the data type of the column.

      Note: If Pick List Custom or SQL is chosen. Click the edit icon to add Pick List options manually or dynamically through a SQL statement.

  4. Click Save.
  5. To delete an annotation column, click the delete icon in the corresponding row.

    Important: If there are data in the column, you will be alerted to confirm the deletion.

  6. Click Save.
