While manual data export is available when working in elluminate, Export Definitions can also be scheduled to run at a specified date and time. Exports can be configured as a one-time event or set to run on a recurring schedule, such as after new data is imported. An export can include an entire study or selected domains.
Selecting Schedule configures the export to run automatically at the defined time and frequency. Scheduling can be performed directly from the Export Definitions tab in the Exporter window using the Schedule icon or through the Tasks module.
Note: An export can also be scheduled from the Tasks module, though the process differs slightly. For more information, see the Manage your Automated Tasks article in the Tasks section.
Schedule an Export Definition

From a study home page, select Exporter from the Details drop-down.

The Exporter window opens. Click the Export Definitions tab at the bottom half of the window.

Click the Schedule icon for the selected Export Definition. A New Task window opens.
- The Name field defaults to 'Export_Study name_Export Definition name.' Change as needed to be more descriptive.
- In the Description field, enter any additional description for the schedule.
- The Active checkbox is selected by default. Clear the checkbox to prevent the schedule from running.

Click the Schedule tab.
- Select the timing of the export. Use the calendar and clock icons to select the times.
- Select the Repeat checkbox to run the export more than once, then choose the desired frequency.

Click the Actions tab.
- Because this schedule is being created from within Exporter, the associated actions (an export and an email notification) have already been defined. By default, the email is configured to notify the user when the export is complete.
To make changes, click the pencil icon in the corresponding row to edit either the export or the email settings. For example, the export name can be changed, additional recipients can be added to the email notification, or the notification can be configured to send only if an error occurs during the export. -
If the selections are correct, click Save. A task for the scheduled export is created. To view or update the schedule, go to the Tasks module.
Retrieve the Scheduled Export
The data from a scheduled export can be accessed in one of two locations within elluminate. Once the task is successfully completed, the Download button becomes available.
- From the Exporter window (within the study): The most recent export appears in the lower half of the Exporter window.

Click Download to retrieve the exported data. Note: Only the latest recent export or exports completed during the current login session are displayed in this view.

- From the Exports section on the study's home page: This section provides a complete history of all exports performed for the study.

Click Download to retrieve the exported data.

Depending on the browser, follow the appropriate process for downloading files. Save the export in a location that aligns with workflow or data management requirements.
