Schedule Different Action Automations from Tasks

The process of scheduling an action from Tasks and from within the action itself is nearly identical. However, when scheduling directly from within an action, such as Exporter, the study and action are already defined. In addition, an email notification is created automatically based on the selected action. In contrast, when scheduling a task from Tasks, both the action and the email configuration must be defined manually.

Schedule a Task

  1. Access Tasks from within a study or from Platform Administration. All previously scheduled tasks display.
  2. Click the (+) plus icon in the master header to add a new task.
  3. The New Task window opens with three tabs: Task (selected by default), Schedule, and Actions.
  4. Refer to the instructions below for details on completing each tab.

Step 1: Task Tab

  1. In the Name field, enter a name for the task.
  2. In the Description field, enter details about the task.

  3. Ensure the Active checkbox is selected to keep the task enabled.
  4. Optionally, select Cancel stalled action(s) after xx hour(s) to automatically cancel the action if it remains in a running status beyond the specified time. 
    1. By default, the value is set to 23 hours. Update the number of hours if necessary.
    2. Once canceled, the task is reset and ready for the next execution.
  5. Click the Schedule tab to continue.

Step 2: Schedule Tab

Important: If a task has already been created with the same name, an error message displays. Change the name, then click Schedule again.

  1. In the Start Date field, enter the start date manually or use the calendar tool to select a date.
  2. In the time fields, enter the hour and minute, and select AM or PM to specify when the task should run. The date and time are based on the user's local time zone.
  3. To run the task on a recurring schedule, select the Repeat checkbox.
  4. In the Repeat every field, enter a number, then use the drop-down to select the frequency:

    New Task

    1. Minute: Run the task every x minutes (e.g., every 5 minutes, every 30 minutes).
    2. Hour: Run the task every x hours (e.g., every hour, every 2 hours).
    3. Day: Run the task every x days (e.g., every day, every other day).
    4. Week: Run the task every x weeks (e.g., every week, every two weeks).
    5. Month: Run the task every x months (e.g., every month).
  5. To specify an end date for the recurring schedule, select the Ends checkbox, then enter a date manually or use the calendar tool to select one.

  6. Click the Actions tab to continue.

Step 3: Actions Tab

  1. Click the Add button to select an action from the drop-down list.
  2. Click an action in the list below to view additional information and complete the required fields for that action:
  • Action Name This field is auto-filled with the selected action, Import, but it can be updated with a more meaningful name for the project.
    Enabled Leave this checked to enable the task. If unchecked, the task does not run.
    Dependency

    This drop-down is disabled when the first action is scheduled for a task.

    For additional actions, select one of the following options from the drop-down. The selection determines when the action occurs:

    • None: The action does not depend on another action.

    • On Completion: The action occurs after a previous action completes, regardless of outcome.

    • On Error: The action occurs only if the previous action results in an error.

    • On Success: The action occurs only if the previous action completes successfully.

    Action

    This drop-down is disabled when the first action is scheduled for a task.

    For additional actions, select the action from the drop-down list that must occur before the new action runs.

    For example, when an import is scheduled first, an export can be configured to run only after the import completes successfully.

    Study Select the study.
    Import Definition Select the import definition to schedule. Importing a file cannot be scheduled. After selection, the import definition populates the task name and the first Action field. The task name can be edited if needed.
    Integrate On Discrepancies The integrate function runs immediately after the file import completes. If not selected, the import pauses at the Ready To Integrate step and waits for user input.
    Incremental Import Imports only new or changed records.
    Defer Mapping

    Defers mapping on imported data. When selected, Skip Mapping is disabled and Skip Publishing is automatically selected and disabled.

    For example, use Defer Mapping when multiple imports exist for the same study and mapping is deferred until the final import.

    Skip Mapping

    Skips running mappings on imported data. When selected, Defer Mapping is disabled and Skip Publishing is automatically selected and disabled.

    For example, use Skip Mapping to bypass mapping during import.

    Skip Publishing Skips publishing imported data for visualizations.

    Action Name This field is auto-filled with the selected action, Publish Analytics, but it can be updated with a more meaningful name for the project.
    Enabled Leave this checked to enable the task. If unchecked, the task does not run.
    Dependency

    This drop-down is disabled when the first action is scheduled for a task.

    For additional actions, select one of the following options from the drop-down. The selection determines when the action occurs:

    • None: The action does not depend on another action.

    • On Completion: The action occurs after a previous action completes, regardless of outcome.

    • On Error: The action occurs only if the previous action results in an error.

    • On Success: The action occurs only if the previous action completes successfully.

    Action

    This drop-down is disabled when the first action is scheduled for a task.

    For additional actions, select the action from the drop-down list that must occur before the new action runs.

    All Studies Select this option to apply the task to all studies.
    Study Select the study.

    For additional actions, select one of the following options from the drop-down. The selection determines when the action occurs:

    • None: The action does not depend on another action.

    • On Completion: The action occurs after a previous action completes, regardless of outcome.

    • On Error: The action occurs only if the previous action results in an error.

    • On Success: The action occurs only if the previous action completes successfully.

    Action

    This drop-down is disabled when the first action is scheduled for a task.

    For additional actions, select the action from the drop-down list that must occur before the new action runs.

    For example, when scheduling an import, an export can be configured to run only after the import completes successfully.

    Study Select the study.
    Definition Select the export definition to execute.
  • Action Name This field is auto-filled with the selected action, Run KRIs, but it can be updated with a more meaningful name for the project.
    Enabled Leave this checked to enable the task. If unchecked, the task does not run.
    Dependency

    This drop-down is disabled when the first action is scheduled for a task.

    For additional actions, select one of the following options from the drop-down. The selection determines when the action occurs:

    • None: The action does not depend on another action.

    • On Completion: The action occurs after a previous action completes, regardless of outcome.

    • On Error: The action occurs only if the previous action results in an error.

    • On Success: The action occurs only if the previous action completes successfully.

    Action

    This drop-down is disabled when the first action is scheduled for a task.

    For additional actions, select the action from the drop-down list that must occur before the new action runs.

    For example, run the KRI update only after a dependent Import action completes successfully.

    Study Select the study.
    Cc Recipient(s) Select a recipient from the drop-down list or begin typing to filter the list.
  • Action Name

    This field is auto-filled with the selected action, Run RBQM, but it can be updated with a more meaningful name for the project.

    Note: it is recommended that Run RBQM is scheduled at regular intervals.

    Enabled Leave this checked to enable the task. If unchecked, the task does not run.
    Dependency

    This drop-down is disabled when the first action is scheduled for a task.

    For additional actions, select one of the following options from the drop-down. The selection determines when the action occurs:

    • None: The action does not depend on another action.

    • On Completion: The action occurs after a previous action completes, regardless of outcome.

    • On Error: The action occurs only if the previous action results in an error.

    • On Success: The action occurs only if the previous action completes successfully.

    Action

    This drop-down is disabled when the first action is scheduled for a task.

    For additional actions, select the action from the drop-down list that must occur before the new action runs.

    For example, run RBQM only after a dependent Import action completes successfully.

    Study Select the study.
    Cc Recipient(s) Select a recipient from the drop-down list or begin typing to filter the list.
  • Action Name This field is auto-filled with the selected action, Run SCE Program, but it can be updated with a more meaningful name for the project.
    Enabled Leave this checked to enable the task. If unchecked, the task does not run.
    Dependency

    This drop-down is disabled when the first action is scheduled for a task.

    For additional actions, select one of the following options from the drop-down. The selection determines when the action occurs:

    • None: The action does not depend on another action.

    • On Completion: The action occurs after a previous action completes, regardless of outcome.

    • On Error: The action occurs only if the previous action results in an error.

    • On Success: The action occurs only if the previous action completes successfully.

    Action

    This drop-down is disabled when the first action is scheduled for a task.

    For additional actions, select the action from the drop-down list that must occur before the new action runs.

    For example, an SCE program may be be configured to run only if a dependent Import action completes successfully.

    Study Select the study.
    Program Select the program.
  • Action Name This field is auto-filled with the selected action, Data Quality, but it can be updated with a more meaningful name for the project.
    Enabled Leave this checked to enable the task. If unchecked, the task does not run.
    Dependency

    This drop-down is disabled when the first action is scheduled for a task.

    For additional actions, select one of the following options from the drop-down. The selection determines when the action occurs:

    • None: The action does not depend on another action.

    • On Completion: The action occurs after a previous action completes, regardless of outcome.

    • On Error: The action occurs only if the previous action results in an error.

    • On Success: The action occurs only if the previous action completes successfully.

    Action

    This drop-down is disabled when the first action is scheduled for a task.

    For additional actions, select the action from the drop-down list that must occur before the new action runs.

    For example, run a Data Quality check only after a dependent Import action completes successfully.

    Study Select the study.
    Data Quality Job Click the drop-down to select the Data Quality Job that should run.
  • Action Name This field is auto-filled with the selected action, Validator, but it can be updated with a more meaningful name for the project.
    Enabled Leave this checked to enable the task. If unchecked, the task does not run.
    Dependency

    This drop-down is disabled when the first action is scheduled for a task.

    For additional actions, select one of the following options from the drop-down. The selection determines when the action occurs:

    • None: The action does not depend on another action.

    • On Completion: The action occurs after a previous action completes, regardless of outcome.

    • On Error: The action occurs only if the previous action results in an error.

    • On Success: The action occurs only if the previous action completes successfully.

    Action

    This drop-down is disabled when the first action is scheduled for a task.

    For additional actions, select the action from the drop-down list that must occur before the new action runs.

    For example, run a Validator job only after a dependent Import action completes successfully.

    Study Select the study.
    Definition Click the drop-down to select the Validator Definition that should run.
  • Action Name This field is auto-filled with the selected action, Check Import Source, but it can be updated with a more meaningful name for the project.
    Enabled Leave this checked to enable the task. If unchecked, the task does not run.
    Dependency

    This drop-down is disabled when the first action is scheduled for a task.

    For additional actions, select one of the following options from the drop-down. The selection determines when the action occurs:

    • None: The action does not depend on another action.

    • On Completion: The action occurs after a previous action completes, regardless of outcome.

    • On Error: The action occurs only if the previous action results in an error.

    • On Success: The action occurs only if the previous action completes successfully.

    Action

    This drop-down is disabled when the first action is scheduled for a task.

    For additional actions, select the action from the drop-down list that must occur before the new action runs.

    Study Select the study.
    Data Source Click the drop-down to select the import data source defined in the selected study. If the import source defined does not exist, or cannot be reached, this action will fail.
  • Action Name This field is auto-filled with the selected action, Run Report, but it can be updated with a more meaningful name for the project.
    Enabled Leave this checked to enable the task. If unchecked, the task does not run.
    Dependency

    This drop-down is disabled when the first action is scheduled for a task.

    For additional actions, select one of the following options from the drop-down. The selection determines when the action occurs:

    • None: The action does not depend on another action.

    • On Completion: The action occurs after a previous action completes, regardless of outcome.

    • On Error: The action occurs only if the previous action results in an error.

    • On Success: The action occurs only if the previous action completes successfully.

    Action

    This drop-down is disabled when the first action is scheduled for a task.

    For additional actions, select the action from the drop-down list that must occur before the new action runs.

    Report Click the drop-down and select the system report. The list of reports is subject to change.
    Report Definition Click the drop-down to select the Report Definition that should run.

    Note: Typically, the Email action should be added only after at least one other action has been added to the task.

    For additional actions, select one of the following options from the drop-down. The selection determines when the action occurs:

    • None: The action does not depend on another action.

    • On Completion: The action occurs after a previous action completes, regardless of outcome.

    • On Error: The action occurs only if the previous action results in an error.

    • On Success: The action occurs only if the previous action completes successfully.

    Action

    This drop-down is disabled when the first action is scheduled for a task.

    For additional actions, select the action from the drop-down list that must occur before the new action runs.

    For example, send an email after the export completes (On Completion).

    Email To:
    By default, the email address of the logged-in user is included when scheduling from within an action, such as Exporter. To add additional elluminate users, use the drop-down menu to the right of the field to select names. 
    Tip: Email addresses for non-elluminate users can also be entered, but this requires a configuration setting. If the option to enter non-elluminate users is unavailable, contact the elluminate administrator or email support@eclinicalsol.com for assistance.
    Subject Enter the email subject.
    Message Enter the email message.

    This drop-down is disabled when the first action is scheduled for a task.

    For example, send an email after the export completes (On Completion).

    Action

    This drop-down is disabled when the first action is scheduled for a task.

    For additional actions, select the action from the drop-down list that must occur before the new action runs.

    For example, send an email after the export completes (On Completion).

    Select Mapping Click the drop-down and select a mapping.
    Publish Analytics Select to publish analytics.

    For additional actions, select one of the following options from the drop-down. The selection determines when the action occurs:

    • None: The action does not depend on another action.

    • On Completion: The action occurs after a previous action completes, regardless of outcome.

    • On Error: The action occurs only if the previous action results in an error.

    • On Success: The action occurs only if the previous action completes successfully.

    Action

    This drop-down is disabled when the first action is scheduled for a task.

    For additional actions, select the action from the drop-down list that must occur before the new action runs.

    For example, send an email after the export completes (On Completion).

    Lead Time Click the drop-down and select the week or day, and enter the number.
    Recipients Select the user or groups from the drop-down, or manually add the recipient email(s).
  1. Click OK after required fields are completed.
  2. Click the Add button to include additional actions for the task, if needed.

    Tip: Add an email action to receive notification when the scheduled action runs.

  3. Click Save to finalize the scheduled task.

Manually Cancel a Task

Tasks that remain in a running status can be canceled manually. A Cancel icon displays for tasks that are neither completed nor failed.

Note: Canceling tasks requires the System Admin privilege.

  1. From the Tasks list, click the side arrow next to the task name to expand task details.

  2. Click the Cancel Task icon. The Cancel Task window opens.

  3. Click Yes to confirm, or No to cancel.

After cancellation, the task resets and is ready for the next execution.
