Review and Mark Records as Reviewed in Data Central

Data Stores contain imported data and programmed listings. Data Stores and listings are configurable for review and may include Lab Data, External Data, Exception Listings, Reconciliation Listings. 

A single record or multiple records can be marked as reviewed or unreviewed, as well as all records within a panel.

Access Data Listings

Data listings are opened from the left navigation, and when selected, the listing opens as a panel that can be docked. Data listings configured to be marked as reviewed include the Review action in the panel toolbar. To see all configured Data Stores and listings, use the scrollbar in the left navigation.

Icons are next to each domain indicating its review status for the logged in user. 

Tip: The icon beside each domain allows users to easily identify which domains require review and have records to review without having to open every domain listed.

  • Domains that have records that need to be reviewed (new or updated since reviewed) have a gray dashed circle icon.
  • Domains that have no records left to review have a green circle with a check icon.
  • Domains that are configured as excluded from data review have a red circle with a slash icon. Data listings excluded from data review are not tracked for incremental changes.

Tip: Hover over a data listing to reveal the Open Listing & Details icon. Select it to open a pre-defined sheet for that domain, displaying the listing and the details side-by-side for easy review. 
Also, a tooltip displays the domain's Name, Label, Data Store, Last Refresh date, Total Records, and if the domain is set up for review, the number of Records to Review for the logged in user.

Tip: Use the Search icon in the panel toolbar to locate a column in a data or custom listing. The list displays all column Names and Labels. Type to search or scroll through the list, then select a column to navigate to it.

Tip: To identify critical fields for review, fields marked as Critical in the Metadata module display an orange column header and a Critical icon. These indicators appear in listing headers, the Record Details panel, and the Visualization Chart Designer field list. For example:

Records can be opened and reviewed, which may result in the record being marked as reviewed, and a query or issue created. Records marked as reviewed do not appear as requiring review again unless the data record changes before a subsequent import. By default, most listings have pre-programmed filters applied to show only records that are new or updated since reviewed.

Review statuses are tracked separately for each reviewer role. Only the reviewer roles that have been configured to review that domain display. Additional reviewer roles can be configured based on the needs of the study.

Indicators

  • Comments: The column with the speech bubble icon indicates whether comments have been entered for a record. If a comment has been added to a record, the number of comments displays in that column.
  • Reviewer Role Columns: A green check mark icon indicates records were reviewed by that role, while the circle with an exclamation mark icon indicates there were updates to that record since it was last reviewed.

    Tip: If a record has already been reviewed, hovering over the green checkmark icon displays the reviewer’s username and date/time of the review.

  • Open Issues / Answered Issues: Columns with the red and green tag icons indicate whether an issue has been entered for a record. If an issue has been added to a record, the number of issues displays in that column. Note: if 'In Progress' Issues are enabled for the URL, they are included in the Open Issues column.
  • Open Queries / Answered Queries: Columns with the red and green Q icon indicate whether a query has been entered for a record. If a query has been added to a record, the number of queries displays in that column.

Mark a Single Record as Reviewed

  1. If the Details View is not already opened, open the Details View for a record one of three ways:
    • Highlight a record and click the Details icon in the panel toolbar.
    • Right-click on a record and select Details.
    • Double-click a record.

      Tip: When the Details View opens as a separate window it can be moved around the screen or docked to the sheet.

      Tip: For Rave studies, click the icon to view the record in the Rave EDC.

  2. When viewing the Details, fields changed since last review display an alert icon in the left column.

  3. Click Review in the panel toolbar. If the record is successfully reviewed, a confirmation dialog displays. If the review fails, review the error message and take the appropriate action.
  4. To continue marking individual records as reviewed, use the Next / Previous Record icons in the panel toolbar, and repeat steps 2-4.

Tip: To view the history of a field in the EDC, select the field and click the History icon in the panel toolbar, or right-click the field and select History.

Note: The Details section is expanded by default. The Comments, Related Queries, and Related Issues sections appear in the lower portion of the window. Click the arrow to expand or collapse each section. Comments can be added, and Related Queries and Related Issues can be actioned.

Mark Multiple Records as Reviewed

  1. Within a panel, select the checkboxes on the left side of the records to be marked as reviewed.
  2. In panels that support review, an Updated Since Reviewed (circle with an exclamation point) icon displays in the Role column, such as DM, to indicate changes since the last review.
  3. Click Review in the panel toolbar, or right-click a selection and choose Review

    Note: In the above screenshot the user is signed in as a DM, therefore, a pre-programmed filter is applied to the DM column showing records with the status of new or updated since reviewed. To remove the filter, click on the column header, then the filter icon and check the box for reviewed.

Note: The triangle warning in a domain listing header indicates the domain has an improper key definition.

Mark All Records Within a Data Domain or Listing as Reviewed

  1. To mark all rows within a panel as Reviewed, click the Review Operations drop-down arrow next to Review in the panel toolbar, or right-click a record and select an option from Review Operations.

  2. Select Mark [number] rows as Reviewed

Important: If the domain or listing is filtered, the action applies only to the filtered records, not all records.
 

Note: If a record is marked as reviewed in error, it can be undone. The Review Operations option allows marking a record as unreviewed.

Mark Records as Unreviewed

  1. Within a panel, select the checkboxes on the left side of the records to be marked as unreviewed.
  2. Click the Review Operations drop-down arrow next to Review in the panel toolbar, or right-click a record.
  3. Select Mark Unreviewed

Important: Use caution when marking multiple records as unreviewed. If some records were previously marked as reviewed, then all records were marked as reviewed, and finally all records were marked as unreviewed, the reviewed status is removed from the records that were originally marked as reviewed.
