In Analytics, selections and filters limit displayed data in visualizations, tables, and sheets. Use filters to focus results on specific subjects, events, or data trends, such as patients with SAEs, dosing relationships, or lab trends for specific tests.
When a filter is applied, all data on the current sheet and any sheet opened during the session reflect the filter.
Selection and filtering methods include:
- Sheet filters: Top-level or column header
- Variable buttons
- Highlight proportion differences
- Select data directly in a visualization
- Lasso tool
- Selections tool
Filter Data Using Sheet and Column Filters
Use sheet and column filters to limit displayed data. Sheet-level filters apply selections such as Study or Country, while the Search icon lets users filter a table or listing by values in any column.
Note: In addition to standard filters, some sheets include content-specific filters.
Filter a sheet, table, or listing using sheet-level filters or column header filters.
- Click a sheet-level filter or the Search icon in a column header.
Choose a filtering option.
Filter to all values
Selects every value in the list, including values that currently have no data and display in dark gray.- In the filter popout, click the More (...) icon.
- Click Select all.
Filter to all possible values
Selects only values that currently have available data based on the existing selections.- In the filter popout, click the More (...) icon.
- Click Select possible.
Filter to exclude specific values
Excludes a small number of values from the results while keeping all other values selected.- Select the values to exclude.
- Click the More (...) icon.
- Click Select excluded.
Filter to available alternative selections
Selects all currently available values except the values selected for exclusion.- Select the values to exclude.
- Click the More (...) icon.
Click Select alternative.
Note: Select alternative selects all available values that are not currently selected and clears the selected values. Unlike Select excluded, it does not include unavailable values.
Click the Confirm selection icon.
Filtered results display, and the applied filter appears in the Selections Bar.
Remove Filters
Filters can be removed from the filter popout or from the Selections Bar.
Remove a single filter from the filter popout
- Click the sheet-level filter or the Search icon in the column where the filter is applied.
- Click the selected item.
- Click the Cancel selection icon.
Remove a single filter from the Selections Bar
- Click the x on the filter in the Selections Bar.
Remove all filters using the Selections Bar
- Click the Clear all selections icon.
Tip: Click the Step Back icon in the Selections Bar to undo the most recent filter change. Click the Step Forward icon to restore the change.
Lock Filters
Lock selections from the Selections Bar to prevent unavailable values from replacing current selections. For example, a value may not be available based on the selected study. Unavailable values display in dark gray. These values can still be selected unless the current selections are locked. When selections are locked, unavailable values cannot replace the current selections.
- Click a filtered selection in the Selections Bar.
- Click the Click to lock icon.
The selection is locked, and unavailable values cannot replace the current selection.
To unlock the selection, click the locked filter in the Selections Bar, then click Click to unlock.
Understand Filter Selection Colors
When a selection is made from a filter, the Selections Bar, or a column header, colors indicate whether values are selected, available, or unavailable.
| COLOR | MEANING |
|---|---|
| White | The value is not selected, but is available for selection. |
| Green | The value is selected and is included in the results. |
| Light Gray | The value is available, but is not included in the results based on the current selections. |
| Dark Gray | The value is not available based on the current selections and does not display in the results. |
Important: If a dark gray value is selected and the filter is not locked, the current selections may be overwritten to include that value. No warning displays.
View Data by Different Variables
Variable buttons display data by different variables in sheets, graphs, charts, and tables. By default, visualizations display data by the first available variable.
Click a variable button to change the displayed data.
In this example, the chart displays data by System Organ Class and Toxicity. To change the view, click another variable button, such as Highest Toxicity, Seriousness, Action Taken, Outcome, Causality, AE Duration, or Group Assignment.
Highlight Proportion Differences
Some sheets include a field to highlight rows where the highest and lowest proportions differ by at least the entered value. The field location may vary by sheet.
Enter or update the value, then click outside the field to apply the change.
In this example, the field value is 5, and the default value is 1. Values with a difference of 5% are highlighted in yellow. The high value displays in red text, and the low value displays in green text. Calculations are based on the total number of subjects in the study.
Filter by Selecting Data in a Visualization
Select data directly from a visualization to filter the displayed results. Applied selections display in the Selections Bar and are applied to all sheets in the app until removed.
The following table provides examples of how to select data in different visualization types.

After the selection is confirmed, the filtered results display and the selection appears in the Selections Bar.
Note: If Confirm selection does not display, click the More (...) icon. Available options may vary based on the available space.
Filter by Selecting Data With the Lasso Tool
Use the Lasso tool to select multiple data points and create a filter. The filter displays in the Selections Bar and is applied to all sheets in the app until it is removed.
- Click inside the visualization to display the selection options.
- Click the Lasso icon.
- Click and drag around the data points to include in the selection.
Note: Select only the data points of interest. In this example, the selected data points include all data points for the selected subjects. - Click the Confirm selection icon.
The filtered results display, and the selection appears in the Selections Bar. Tables and other visualizations on the sheet update to display data for the selected subjects only.
Filter by Using the Selections Tool
Use the Selections tool to create filters from available domains and variables.
- Click the Selections tool icon.
The Selections tool opens and displays current selections and available domains and variables.
Enter a domain or variable name in the Search field.
As text is entered, the available domains and variables update to display matching results.
Tip: Enter a domain name followed by a period to display available variables for that domain. For example, enter AE. to display all available variables in the AE domain. Enter AE.Seriousness to locate the Seriousness variable.
- Select the values to include in the filter.
- Click the Confirm selection icon.
The filtered results display, and the selection appears in the Selections Bar. The filter is applied to all sheets in the app until it is removed.
- Click the Selections tool icon to close the tool.
Tip: Lock selections in the Selections Bar to prevent unavailable values from replacing current selections.
